The Japan Textiles Importers Association’s Personal information Protection Policies

The Japan Textiles Importers Association (hereinafter “this association”) is an organization with a public character, which fosters the sound advancement of the import trade in textile goods by conducting operations to establish orderly import transactions and advance the common interests of its members. As such, it is deeply aware of its great social responsibility to protect personal information, and it has enacted the following basic policies to that end.

1. The acquisition of personal information
If, in the course of its business operations, this association needs to acquire personal information, it does so by legal and fair means, and acquires the information having first specified the purposes for which said information is to be used, and clearly stated the scope of usage and the handling of said information to the subjects concerned.

2. Usage of personal information
Personal information which this association has acquired in the course of its operations will be used to send various communications and documents etc. concerning related operations to the subject of the information, and further used solely within the scope of purposes associated with the business activities of this association, including the collection and sharing of information, and the implementation of events such as training sessions, seminars, and trade shows. Personal information will not be used beyond this scope of usage without the consent of the person concerned.

3. The storage and management of personal information 
(1) Measures for the safe management of personal information
This association keeps personal information accurate and up to date, and establishes and maintains information protection management systems, such as firewall, anti-virus, and other security system measures, to prevent unauthorized access to personal information, its loss, damage, or falsification, disclosure, and the like.

(2) Supervision of employees
In the handling of personal information by its employees, this association requires approval by its superintendent of management and supervision for access to personal information. It also practices strict management and supervision of personal information through means such as thorough education and instruction of employees.

(3) Consignment of personal information 
In the event that this association must outsource the handling of personal information, in cases such as questionnaire surveys and information gathering, and sending documents, it practices strict management and supervision to preclude any leakage of personal data from such contractors.

4. Provision of personal information to third parties 
This association will never provide personal information to any third party without the consent of the subject, except where required by law to do so.

5. Disclosure, correction, and deletion of personal information
On receipt of a request from a subject of personal information to refer to the content of such information, or to correct or delete the registered content of such information, this association will comply promptly after confirming the identity of the person concerned.

6. Compliance with laws and rules and review of policies
This association complies strictly with the Private Information Protection Law and other related laws, ordinances, and guidelines, and strives to appropriately review and improve the content of these policies.
